At Brixel Education Group, weโ€™re dedicated to providing a safe, inspiring, and enriching environment where students can explore robotics, programming, and STEM through hands-on learning. The following policies apply to all our in-centre and online programs, including summer camps, regular classes, and trial sessions.

By enrolling in any Brixel program, you acknowledge and agree to the terms outlined below:

๐Ÿ”น 1. Trial Class Policy

  • Each new student is eligible for one complimentary trial class per program.
  • Trial classes are subject to availability and must be confirmed in advance.
  • Participation in a trial class does not guarantee a reserved spot in the full program. Full registration and payment are required to continue.

๐ŸŒž 2. Summer Camp Terms

  • Camp Structure: Each week of camp focuses on a unique theme with age-specific activities.
  • Registration is on a first-come, first-served basis. Full payment or an approved plan is required to reserve a spot.
Refund & Transfer Policy

At Brixel, we strive to provide a flexible and transparent experience for families while ensuring smooth operations for our team and campers. Please review our official policy below:

We understand that schedules can shift! Transfers can be made under the following conditions:

  • ๐Ÿ“… Transfers may be accommodated, pending availability.
  • โœ๏ธ Submit requests in writing at least 7 days prior to the originally registered week.
๐Ÿ’ธ Refund Policy

Refunds are issued based on when the cancellation request is received:

  • ๐Ÿ—“๏ธ More than 1 month before the camp week: Full refund minus $50 admin fee per week.
  • โณ 2โ€“3 weeks before: 70% refund (30% non-refundable).
  • โ›” Less than 7 days before: No refund.

  • ๐Ÿ“ง Requests must be submitted via email for documentation.
  • ๐Ÿ” Policies apply per individual camp week.
  • ๐Ÿšซ No refunds/credits for missed days due to:
    • ๐Ÿค’ Illness
    • โœˆ๏ธ Vacation
    • ๐Ÿ“† Scheduling conflicts
  • ๐Ÿ“„ Exceptions only for documented emergencies, pending management approval.

๐Ÿ“ธ 3. Photo & Media Consent

By registering, you grant Brixel permission to:

  • Take photos and videos of your child during classes, camps, and events.
  • Use media for promotional purposes, including our website, social media, and printed materials.

If you do not wish your child to appear in any media, please email us at [email protected] before the start of the program.

๐Ÿฉบ 4. Medical Care Consent

In the event of a medical emergency:

  • We will attempt to contact a parent/guardian, the childโ€™s physician, or emergency contact.
  • If no contact can be reached, we may call an ambulance and have the child accompanied to the hospital by staff.
  • Any expenses incurred are the responsibility of the childโ€™s family.

Brixel is not responsible for incidents resulting from false or incomplete information provided during registration.

๐Ÿ“ฌ 5. Communication Consent (Mandatory)

By providing your contact information, you agree to receive:

  • Class updates, event notices, promotions, and essential reminders via email and/or text message.

You may withdraw consent at any time by emailing [email protected]. We comply with Canadaโ€™s Anti-Spam Legislation (CASL) and protect your privacy.

โš–๏ธ 6. Liability Waiver (Mandatory)

By registering, you acknowledge and accept the inherent risks of participation in Brixel programs. You agree to:

  • Release Brixel Education Group, its staff, and affiliates from all liability for any injury, illness, loss, or damage incurred during participation.
  • Be legally bound by this waiver on behalf of yourself, your child(ren), and any guests or dependents.

โ„๏ธ 7. Inclement Weather Cancellation Policy

  • If classes are canceled due to severe weather, families will be notified via email, text, website, or social media.
  • No refunds will be provided for weather-related cancellations.
  • We will make every effort to schedule a make-up class, though it may not always be possible.

This policy is governed by the laws of Ontario. If any part of it is unenforceable, the rest remains valid.

๐Ÿงญ 8. Behavioural Policy & Progressive Discipline

All students must follow Brixelโ€™s Code of Conduct. We promote respect, curiosity, and a safe space for learning.

Progressive Steps:

  1. Verbal Warning โ€“ Behavior addressed by staff.
  2. Written Warning โ€“ Formal note shared with parent/guardian.
  3. Parent Contact โ€“ Direct discussion of concerns and expectations.
  4. Admin Meeting โ€“ Student, family, and admin conference.
  5. Disciplinary Action โ€“ Possible suspension or removal from the program.

Brixel reserves the right to bypass steps in severe or safety-threatening situations.

โฐ 9. Missed Class Policy

We offer up to two makeup classes per term for in-centre and virtual programs.

In-Centre:

  • Makeup sessions are guided, independent work sessions.
  • Must be pre-booked on the Registered Students page.
  • Same-day cancellations or no-shows are not eligible.

Virtual:

  • Eligible for up to two recorded class sessions per term.
  • Parents must notify us before the class is missed via email, text, WhatsApp, or phone.

Makeup classes are based on availability and are not guaranteed.

๐ŸŽ’ 10. Class Participation & Materials

  • Students should attend regularly and on time.
  • Families must notify us 24 hours in advance if a class will be missed.
  • All required materials are provided and must be treated with care and responsibility.
  • Students may bring nut-free and shrimp-free snacks and water bottles.
  • Light refreshments may be offered during extended programs.
